The Document Vault is designed to store every compliance-critical file your NEMT operation depends on. This includes driver licenses, driver medical cards, vehicle insurance certificates, vehicle operating permits, and patient records. Every document is encrypted with AES-256 at rest and in transit, and access is controlled by your permission settings so only authorized staff can view or download sensitive files.

Every document uploaded to the vault has an expiry date associated with it. ActiveRoute monitors every expiry date continuously and automatically sends an alert notification 30 days before any document is due to expire. The alert identifies the specific document, the staff member or driver it belongs to, and the exact expiry date giving your team enough time to arrange renewal and upload the updated document before any compliance gap occurs.

ActiveRoute uses four clearly defined permission levels to control access across the platform. Super Admin has complete access to every module and every action. Admin can manage operations, drivers, and documents but cannot access billing configuration. Biller can access invoicing, rate profiles, and financial reports only. Driver can view and update only their own assigned trips through the mobile app. Every level is independently configurable so you control exactly what each role can view, create, edit, and delete.

The payroll module pulls directly from your completed trip data to calculate driver earnings automatically. You configure each driver as either W2 or 1099 and set their compensation structure per trip rate or hourly rate and the system calculates their earnings for any date range you select based on the trips they completed. At the end of each pay period you export the payroll report and your payment process is ready without any manual tallying or spreadsheet work.
